It is not that difficult to create a new message with a subject of "Membership Report" and send it to this address only: < icg-treasurer@costume.org >

The big question is what can we do to help chapters, especially the new ones to get up and running and checking in with reports?  Lets see if all chapters can do a better job of reporting/checking in 2018. If your chapter needs help please speak up, we are here to see your chapter succeed.

This has been a long term issue with GCFCG. I know from Judy that she has had some health and other issues in her life but Sharon wont or doesn't want anyone to help her with the reporting. This has been been going on as long as I have been treasurer (9 years now) that there are no reports or dues paid until I bring the issue up.

Don't panic about the topic, we're not in charge of them, obviously. ;) I would, however, like to propose having several BOD and chapter officers get together and run a few panels together along the subject matter of the practicality of running the guild and chapters. I think we would benefit from sharing and passing down the institutional knowledge like how to successfully be a Chapter Treasurer, just what a Chapter President is supposed to do, how to plan and execute guild events successfully, etc.

What kind of knowledge do you have to share, or what kind of things do you want (or need!) to learn? I don't know how far along the CC team is in scheduling their panels for this year but maybe they could squeeze in a few more if people are interested in doing this with me.

Hi everybody, I'm Jennifer Old-d'Entremont and I'm the programming coordinator for Costume-Con 36, held this year in sunny San Diego.  I've started work on our programming schedule, but to finish it, I need your help.  If you're planning to attend Costume-Con 36, I invite you to consider volunteering as a program participant.  YOU choose your level of involvement.  You could go small and host a single meetup or round table discussion, go bigger and make yourself available for panels, or go big and present a solo lecture, demonstration, or teach a workshop.

I would love to learn about planning and executing guild events successfully, especially for a chapter in which the members are highly scattered, geographically, like Silicon Web and the Sick Pups. Our events are rarely successful. The two CCs we ran (7 and 29) both lost tons of money.

I would also love to have a panel on successful event planning but that's more one I'd attend than feel comfortable running at this point. I don't think Lorien is planning on attending CC this year, unfortunately (are you?), or I'd try to wheedle her into doing it. However, I don't think we can entirely define the "success" of a chapter or event by being financially profitable. Why don't we put in for two different panels:

1. A Roundtable discussion on "How to be a successful chapter" with planned talking points on various dos and don'ts from several BoD members.
2. A panel of "How to run a chapter" where we discuss the purpose of the various offices and how they can be successfully fulfilled as well as discussing problems chapters face and some solutions we've come up with in the past.

If I could get 4-5 people to volunteer to help lead with each of these, we can work out more specific points for each of them.

      For the membership expiration dates the information from Standing Rule 7. A check can be back dated one month if you wish to keep the dates the same. A chapter can not sit on dues for multiple months and expect their dates to match with mine. Too many chapters get new members then wait for months before sending in the new member information.

      1. Each chapter shall send to the Corporation Treasurer monthly, by the 7th day of each month, an updated list of the names and addresses, (where provided) electronic mail addresses and phone numbers of all new and/or renewing members. The chapter shall remit the dues set in Standing Rule 3 for all new and/or renewing members included with each monthly update. Effective January 1, 1995, all new members whose dues are received by the Corporation Treasurer will be assigned a membership expiration date which shall be the last day of the month, one (1) year after the dated payment. Renewing members' expiration dates will be extended one (1) year from their current expiration dates, unless the membership has lapsed more than three (3) months, in which case the member will be assigned a new expiration month, in accordance with the new member policy as stated above. Such updates shall also include changes of names and addresses, (where provided) electronic mail addresses and phone numbers, and any changes in membership status of existing members. Annually, on January 7, each chapter shall provide a complete list of all members of record, including all contact information as listed above, for review by the Corporation Treasurer.[Adopted 2/15/1990; Amended: 5/25/1992, 2/15/1993, 5/29/1995, 01/31/2004; Renumbered 04/29/2005]

      Janet Wilson Anderson was the ICG Vice President from 1989 through 1991 and President for 1991-92. She founded Costumers Guild West, which was our California chapter and for many years by far the largest chapter in the Guild. She was part of the group that developed the original version of our Masquerade Guidelines. We honored Janet with the Lifetime Achievement Award in 1994. She’s the owner of Alter Years.

      Janet has kidney disease. She expects to soon get through the surgery and other medical procedures and training to transition to home dialysis. However, her medical expenses have been piling up. Her disease has led to her absence from Alter Years and a substantial loss of income.       Janet’s an old friend of mine so I have no hesitation in bringing her need to your individual attention. Chapter reps may want to bring this matter to their chapters’ attention.

      Subject: Potential new SIG!
      I have some exciting almost-news to share! I belong to a group that holds themed cosplay photoshoots every month in the DC area- a group with huge numbers of members and even more interest in what they do. It's gotten so big lately that they've had to put a hard limit on attendees, usually at 50, due to space considerations in shoot locations.

      Well, not being officially organized as a non profit has been a problem and when it came up in discussion at lunch today after the photoshoot I told them about our GEL program. They were EXCITED, grabbed the rest of the admin team who was at another table and had me explain it again. I suggested that their admin team join NoVA and then set up a Photography special interest group to run the photoshoot group. They were happily shocked that we wouldn't want a cut of the fees they charge attendees ($5/person/event and it goes to space rentals), that dues are so low, and that they can get not-profit status pretty much immediately. As a group, every meetup is educational as photographers are there to practice photography skills. They're even starting to hold workshops and panels to teach posing skills for the cosplayers too! The only thing we don't offer that they were interested in is insurance, I think. 

      Anyways, it hasn't been acted on at all yet, but I'm just so excited that I had to share. :)
