The reason you don't see any polling options on Slack is that we haven't added any yet. Something like this (or several other similar options):  https://slack.com/apps/A0HFW7MR6-simple-poll can be added with a click of a button.

I haven't seen anything about polling on slack, but people can privately message/vote an individual - say.. The recording secretary - who then totals the votes and reports.

Subject: Re: Voting Platform Change Discussion

As a matter of history: a number of years ago there was considerable discussion about keeping the general membership abreast of discussions on BOD. Given that discussion, I would not recommend restricting access to much. That doesn't mean allowing commentary from beyond the BOD and probably committees. But some access to keep the genera membership apprised of BOD business would be a good idea.

I think it is essential that more than one person have access to the vote tally.  It's never a good idea to have one one person doing it.

Also, if people voted on a forum where everyone could see them voting, how different would that be if we take a vote at a meeting?

We want to do this as automatically as possible.  We want a process or platform that will:

Can Slack do this?

I'm looking at Slack now and I can go to the BoardofDirectors Channel on the left side.

In the upper middle I can see where I can 'View Member List', which I assume is just the people in the BoardofDiectors Channel.

Then I can see the list of people on in this channel on the far right side.

But that is as far as I get.  I don't see an obvious way to send an e-mail notification to everyone in the BoardofDiectors Channel. Nor do I see any way to set up a poll in Slack. However, I'm a pretty minimal user for Slack. Please, if someone is more experienced, let me know.  I can keep poking at Slack and google it a bit and maybe find the controls I'm not seeing.

Hi all!

Big Lick ComicCon is Feb 9 and 10 in Roanoke, VA at the Berglund Center and has had an amazing turnout of costumers at their last 4 events. I’m helping with their costume contest once again and wanted to get the word out for those that would like to participate that the contest will be on Sunday this time. Would it be possible to have this event listed on the ICG page with the updated date?

Thanks so much!!!

Hi again!

Did the qualifications for becoming an authorized Masquerade event get posted anywhere? Last I hear, they were supposed to be on the website and they were missing or needed fixing? WesterCon still wants to be authorized as an ICG Qualified event and I need to know what I need to do to get that qualification.

We don’t authorize masquerades. Even if we wanted to, we have no authority to do so.There is no category of "ICG-qualified" event. There never has been. We don’t use that word. We do recognize three “international level” competitions: at world science fiction conventions, Costume-Cons, and Anime North; however, we don’t authorize those organizations to run masquerades. I assume that the sponsor of WesterCon has the power to run a masquerade. The 2010 statement on Accrediting International Costume Competitions is on the web site at http://costume.org/wp/standards-of-practice-for-costume-competitions-requesting-icg-recognition-as-international/. It provides the procedure for WesterCon to follow to seek recognition and the standards to be used in deciding whether to accept the application.

There are also the ICG Guidelines: Assuring Fair Competition (http://costume.org/wp/icg-guidelines-ensuring-fair-competition/), which we urge masquerade directors to consider as they write their masquerade rules. Rules based explicitly on these guidelines are one of the factors to be considered in recognizing a competition as “international level.” The other factors are listed in the Accrediting document.

I hope this helps.

Those are the ones I was looking for. The rules we are using were pulled from the WorldCon 76 Masquerade and I spoke to the Pettingers last year about borrowing them directly for our event, so I believe we are in compliance there. That accreditation for being recognized as an international level competition is what the Con Head was looking for.

Thank you for the help!

I have not looked at any other options for polls beyond Yahoo!

They have use Survey Monkey where I work and I suppose it would be fine.  But aside from the platform to use I think we should agree on requirements.  Two important ones could be:

-- Minimum of 2 people in charge of counting votes, to catch mistakes and it's just good practice.
-- BoD votes do not need to be secret, since online votes could operate the same way meeting votes do, which are not secret.

A Slack sub-forum specifically for voting that only BoD members have access to could serve this purpose.

Any opinions?

However, I'm a pretty minimal user for Slack. Please, if someone is more experienced, let me know.  I can keep poking at Slack and google it a bit and maybe find the controls I'm not seeing.

Subject: Re: Voting Platform Change Discussion - where do we stand?
Multi-platform systems create a bit of a nightmare for maintaining security.  As Slack has options for all of our needs, I feel like Slack would be the best option for streamlining the discussion and voting process.  Google is problematic because they data mine from any information they receive, which many people who are fans of privacy may not like.  While SurveyMonkey is great for polling and compiling data from our members, it doesn’t have a lot of options for discussion.

Just my humble .02.

Google has forms that can be created where voting can take place.  They can be shared with multiple users and can be private or open to anyone with a link.

So do we have any suggestions on other options for voting?  Has anyone looked at Survey Monkey as a possibility?

And just so there is no misinterpretation of what I just wrote, I agree secret ballots are essential. But discussion not.

We might consider having a VotingBoardofDirectors channel on Slack where only voting BoD members have access.  Do we have any requirements for secret ballots?  I've never heard of any.  If we did that, then someone -- say the Recording Secretary -- could tally the results and everyone else could see it.

That would take care of of the voting/polling part.  But what about the notifications?

It looks like from this page, you can bcc e-mail from Slack:

But I haven't figure out how to bcc everyone on a specific channel.  So, there are possibilities...

One thing that has to be kept in mind. Not all members of the BoD have voting rights. Someone can correct me if I am wrong but voting is only open to the elected ICG officers and the one designated rep from each chapter.

It also must guarantee that all votes are secret ballot.

Yahoo has been giving people problems with voting -- not everyone, but enough to be a problem.  So, we'd like to consider using another voting method.  We need:

-- Board members to receive e-mail notification of a vote, including:
------ what is being voted on
------ link to where to cast vote
------ dates/times the vote opens and closes

We want to do this as automatically as possible.  We want a process or platform that will:

--- automatically send out notifications to the e-mail addresses of BoD members (and who should be in charge of sending these out? As Recording Secretary, I'm inclined to think it's me, but I think Jeanine has been doing it, especially for budget votes)
--- host a poll that multiple people can confirm the vote tally on

---------------------------------
Can Slack do this?

I'm looking at Slack now and I can go to the BoardofDirectors Channel on the left side.

In the upper middle I can see where I can 'View Member List', which I assume is just the people in the BoardofDiectors Channel.

Then I can see the list of people on in this channel on the far right side.

But that is as far as I get.  I don't see an obvious way to send an e-mail notification to everyone in the BoardofDiectors Channel. Nor do I see any way to set up a poll in Slack. Subject: Archives equipment inventory - where is it?
I requested an inventory of all the equipment and serial numbers the
Archives has in its possession last year on this list. As of today I
have not received it and the items need to be logged as ICG assets as
soon as possible.

I am requesting that the listing of all the equipment be submitted to me
no later than Mar 1, 2019 so that I have time to get our records
straight before the annual meeting.

I am very sorry to report the death yesterday of D. Jeannette Holloman. Jeannette was the ICG Vice President, Maryland,(pursuant to Standing Rule 22) for many years, beginning in the 1990s. She was the first and, I believe, only member to hold that position. Jeannette also was a founding member of the New Jersey-New York Costumers’ Guild.
